We are looking for a smart candidate with thoughtful communication and organizational skills to join our team as the Customer Coordinator + Admin. This role involves being the first point of contact with our valuable customers and requires someone that truly enjoys creating an exceptional level of service and support. You will coordinate communication with all inbound customer inquiries as well as support our events and business development efforts with designers and architects. Finally, you will interface with our vendors, customers, and the accounting team to facilitate the invoicing and purchasing processes. Candidates that demonstrate a desire to grow into a larger role may also have the opportunity to support and shape Fyrn’s marketing efforts.
-Respond to customer inquiries, requests for quote, and material sample requests
-Design and create informational tools to support customer communications
-Issue informal and formal quotes and invoices to customers
-Process purchase orders and provide acknowledgments to customers
-Interface with the production team to communicate exceptions to normal course timelines and unusual delivery requirements
-Maintain reporting tools used to communicate across the organization
-Support the purchasing process with vendors as needed
-Coordinate delivery and return of sample furniture to design and architecture firms
-Coordinate in-person customer visits to the production facility
-Support and facilitate Fyrn presentations and events, both onsite and off
-Provide support to marketing efforts
-Document and improve standard operating procedures
-Support customer service requirements
-Contribute to the team’s general facility related tasks
-Identify areas for improvement across processes and systems
-Proficient in Google Applications and Microsoft Office
-Self-starter who takes initiative, while also receiving feedback well
-Must have a high level of attention to detail
-Highly organized and self-motivated
-Ability to adapt to a changing environment
-Enjoys being part of a team and working collaboratively
-Very strong written and verbal communication skills
-Ability to work independently and execute good judgment about when to elevate issues
-Bachelor’s degree preferred but not required
-2+ years experience in customer communications/experience or administrative role a + but not required

Part-Time or Full-time position available. Flexible schedule depending on availability. Company works on 4-10s calendar Monday - Thursday, generally 7 am - 5:30 pm but there is flexibility within those hours for this role.
